  • Job Summary
    The Department of Mechanical Engineering is a dynamic and growing department with 40 faculty and 13 staff members committed to educating approximately 1000 undergraduate and 250 graduate students and producing leading edge research. The department is seeking a personable, energetic, and detail-oriented Admissions Counselor to recruit students to both its undergraduate and graduate programs and provide guidance throughout the admissions process. The Admissions Counselor will work closely with the Director of Undergraduate Studies, the Director of Graduate Studies, and the Undergraduate and Graduate Academic Advisors, with opportunities to engage with other faculty and staff members as well. They will recruit students by leading information sessions, attending and/or organizing recruitment events, developing recruitment materials, and meeting with individual students, with significant flexibility in designing and implementing a recruitment plan. As part of transfer recruiting, they will coordinate departmental course articulations at the University level while also helping individual students navigate the course articulation process. In addition, they will serve as the scheduling and curriculum specialist for the department’s undergraduate and graduate programs. As such, the Admissions Counselor position is critical to both the day-to-day operations and the long-term strategic goals of the department.

    1. Develop and implement recruiting plans for the undergraduate and graduate programs
    2. Plan and coordinate graduate student campus visits and organize departmental information sessions and recruitment events
    3. Represent the department at University of Utah-sponsored recruitment events
    4. Develop and prepare recruiting materials, such as brochures, handouts, general information summaries, e-mails, newsletters, and social media
    5. Assist prospective students in gathering the necessary information they need to make an informed decision about seeking a degree at the University of Utah
    6. Correspond with prospective students via in-person meetings, virtual meetings, e-mail, and telephone
    7. Occasional travel to in-state/regional recruitment events and college/graduate school fairs


    1. Review admission applications and correspond with students to gather additional necessary materials
    2. Make admissions recommendations for undergraduate transfer students and graduate students
    3. Assist students with course articulations, track articulation approvals, and process transfer of credit paperwork
    4. Help students navigate the various processes and offices to enroll at the University of Utah

    Other Responsibilities

    1. Work with department to create and enter the class schedule information into multiple databases each semester
    2. Monitor class and lab enrollments and adjust enrollment caps and room assignments as necessary
    3. Enter catalog and curriculum changes into the appropriate online systems and monitor the approval process
    4. Coordinate articulation requests from the Registrar’s Office, obtaining input from faculty members and entering decisions into the University’s Transfer Evaluation System
    5. Communicate with other Utah colleges and universities about changes to articulated courses and/or new articulations
    6. Coordinate social events, town hall meetings, and research presentations for the graduate program
    7. Assist with other duties as assigned
    Minimum Qualifications
    Requires a bachelor’s degree and 2-4 years’ related experience, or equivalency.
    1. MS-level degree or involvement in graduate program administration
    2. Recruitment/admissions experience at a regionally accredited university
    3. Proficiency in MS Office Suite (especially Excel, Outlook, Word, PowerPoint)
    4. Prior experience with CLSS (or similar scheduling software), Kuali (or other curriculum software), and student information systems
    5. Ability to work independently on multiple tasks with close attention to detail
    6. Strong organizational, problem solving, time management, and teamwork skills
    7. Ability to communicate complex information to diverse audiences and speak in front of large groups
