    What You'll Do
    As the Senior Administrative Assistant, you will provide procurement expertise for the Ross IT department and the Ross School of Business. You will coordinate with the finance department to
    manage the Ross IT operating and capital budget and facilitate faculty/departmental purchases and billing. You will also work with the desktop support team to track assets, assist with onboarding/offboarding, and create opportunities for efficiency. You will provide exceptional customer service to faculty, staff, students, alumni, and visitors. You will report directly to the CIO.

    Responsibilities*
    Procurement and Budgeting - 60%

    Purchase and approve software/hardware, ensuring security compliance.
    Assist faculty and staff with procurement, bidding, and sole-source justifications.
    Process P-card, travel, expense, and voucher payments; follow up on discrepancies.
    Manage contracts, purchase orders, and supplier payments. Request bids, process contracts with U-M Procurement Services, and generate invoice POs.
    Coordinate travel reimbursements with Share Services for IT staff.
    Maintain supplier portals and handled financial reconciliations.
    Prepare budgets and perform monthly reconciliations for the Ross IT department.
    Provide financial guidance and process improvements.
    Use M-Pathways, Business Objects, and other university financial systems for transactions and reporting.
    Equipment Provisioning and Database Management - 30%

    Maintain hardware/software purchase records and ensure data accuracy.
    Update the school-wide asset database with inventory and employee details.
    Support technology equipment loans, ensuring proper inspection and documentation.
    Facilitate employee onboarding and offboarding, including access setup/removal, sponsored unique names, and ticket creation. Coordinate equipment returns and ensure users and software access are removed for offboarding.
    Be a backup for IT access requests and sponsorship terminations.
    General Administrative Support - 10%

    Create reports, spreadsheets, and budget/inventory documents.
    Order office supplies and coordinate incoming and outgoing shipments.
    Be an Emburse Enterprise delegate and arrange travel for Ross IT.
    Facilitate equipment sales through Property Disposition.
    Assist users in reporting lost/stolen equipment.
    Required Qualifications*
    Associate's degree or equivalent combination of education and experience.
    5+ years of professional experience in a business and matrixed environment, preferably in a higher education environment.
    2+ years of procurement experience and budgeting management experience.
    Basic knowledge of computer peripherals, software contracts, the RFP (Request for Purchase) process, service and payment agreements, and licensing.
    Familiarity with reporting databases and operational efficiencies.
