Under the supervision of the Director of Operations, the Business Manager II will perform essential tasks to support the Department of Disability and Human Development operations including human resources, finance, and space/equipment inventory.
Duties & Responsibilities:
Human Resources
Assists with the various HR processes including but not limited to staff and faculty recruitment, onboarding of new hires and offboarding of separated employees.
Initiates, collects and communicates all information needed for HR requests; primary liaison to college HR; monitors departmental HR needs for appointments and reappointments.
Perform labor distributions and redistributions.
Coordinate faculty, staff and student appointments.
Prepare and submit biweekly timesheet reporting.
Prepare and submit payroll adjustments as needed.
Finance, Contracts, and Awards
Reconciliation of monthly financial statements.
Maintenance of compliance documentation for operational purchases/expenditures.
Prepare and submit journal entries as needed.
Assist with preparation and monitoring of contracts and sponsored awards.
Assist with purchasing and procurement activities.
Provide guidance to faculty and staff with issues related to accounts payable, purchasing, and travel.
Assist in the development of materials and techniques for training faculty and staff in standard operating procedures related to accounts payable, purchasing, and travel.
Remain up to date on related university, college, and departmental policies and procedures.
Space/Equipment
Assist with space inventory.
Assist with equipment inventory.
Miscellaneous
Assists the Director of Operations with formulating and revising policies and procedures, based on their knowledge of university policy, sponsor policy, and department needs/characteristics.
Develops and maintains positive working relationships with faculty and staff within the department, College of Applied Health Sciences, and other academic departments, as well as with administrative offices at UIC and in the University of Illinois system.
Perform other related duties and participate in special projects as assigned.
Minimum Qualifications Required:
1. A. Bachelor’s degree in accountancy, business administration, management, or a closely related field.
OR
B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.
OR
C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
60 semester hours or an Associate’s Degree equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Preferred Qualifications:
Familiarity with University applications and reporting systems including iBuy, Chrome River, Banner, EDDIE, HR FrontEnd, JDXpert, Cornerstone, etc.
Familiarity with the structure, functions, systems, policies and procedures of the University of Illinois.
Experience working in a university setting.
