Primary Purpose of Organizational Unit
Academic Affairs Divisional Operations (AADO) supports the Provost in the oversight of divisional personnel and financial resources. This unit has three primary functions: (1) Academic Administration, (2) Academic Resource Administration which includes a common support function that provides business administration support to divisional units that do not have a dedicated business officer, and (3) divisional marketing and communication coordination.
Academic Affairs Resource Administration (AARA) provides both operational/transactional support and data/analysis that enables planning, informed decision-making, and business modeling. We believe the AARA team advances the Division of Academic Affairs through subject matter experts that integrate across the division to promote and ensure success by seeking solutions while advocating for accountability. The Division of Academic Affairs is comprised of 13 major units (including five academic colleges, seven functional areas, and one Provost level center) and over 100 departmental units, which represents approximately 75% of a $300M university budget and about 60% of a nearly 1,900 permanent and time-limited employees.

Brief Summary of Work for this Position
The Business Services Coordinator administers and coordinates fiscal budget and business related duties. This position interacts with a broad cross section of the UNCW community from university executives, academic leadership (vice chancellors, deans, directors, etc.) staff, students and vendors as well as candidates for faculty and staff/executive positions. This position also provides support to the functional units and the schools and colleges within Academic Affairs.
Responsibilities Include:
Establishing budget setup, purchasing transactions, journal entries, budget revisions and reconciliations to resolve the needs of the Provost Office.
Interpreting and evaluating applicable policies, procedures and information systems in order to communicate and process information.
Budget management, report writing, summarizing and reconciling information or financial data, records and facilities management, personnel administration and closely related functions in general, trust and auxiliary funds.
Supporting the Director of Academic Resource Management and team in the operations of the Provost unit as needed.
This position secondarily supports the functional units and the schools and colleges within Academic Affairs.
Minimum Education and Experience Requirements
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred education, professional skills and experience
Banner and Sciquest uShop experience as well as experience in a university setting.
Basic understanding of accounting principles.
Demonstrated excellent Microsoft Excel skills, including, experience with advanced formulas and pivot tables.
Ability to manage and prioritize a wide variety of tasks and meet deadlines in a timely fashion.
Ability to establish and maintain effective working relationships with all levels of university administration, faculty, and students.
Ability to perform and conduct oneself with a high degree of maturity, discretion, and integrity to handle sensitive planning and personal information, and preserve the confidentiality of the same.
A dedication to providing timely and effective customer service.
